Privacy policy

What we collect when you enquire, book or browse this site, why we need it, who sees it, and how to have it corrected or deleted. We collect as little as a journey needs and we never sell it.

Who we are

Botswana Safari Tours, Hazina Trade Centre, Monrovia Street, Nairobi, Kenya, plans tailor-made safaris in Botswana. We decide how the personal information described here is used, which makes us its controller under the Kenya Data Protection Act 2019, and under UK and EU data protection law where that applies to you.

Questions about this policy, and requests about your information, go to botswanasafaritour@gmail.com or +254 716 354 396. A person reads and answers them.

What we collect

  • When you send an enquiry: your name and email address, which are required, and anything else you choose to add: phone or WhatsApp number, country of residence, preferred dates, trip length, how many adults and children are travelling, the collection, your interests, a budget guide and your notes. We also record the IP address the form was sent from, to stop spam and repeated automated submissions.
  • When you write to us by email or WhatsApp: your message, your contact details and whatever you tell us in it.
  • When you book: what camps, airlines and immigration need: full names as they appear in passports, dates of birth, nationalities, passport numbers, flight details, an emergency contact and your travel insurance details. We also ask about dietary, medical and mobility needs, so that camps can look after you properly. Sharing those is your choice.
  • When you browse: Google Analytics measures how the site is used, as described under cookies below. We use no advertising cookies and no tracking pixels.

How we use it, and why we are allowed to

  • To answer your enquiry and prepare proposals. These are steps you have asked us to take before a contract, and replying to people who write to us is in our legitimate interest.
  • To book and run your journey. We cannot perform our contract with you without it.
  • Dietary, medical and mobility information is used only with your explicit consent, and only by the people who need it for your safety and comfort.
  • To keep accounts and meet tax and legal duties, because the law requires it.
  • To understand how the site is used. Analytics cookies are set only with your consent.

We do not sell personal information or use it for advertising. We send news or offers only to people who ask for them.

Who we share it with

  • The people who deliver your journey: camps, lodges, mobile-safari teams, guides, air-charter operators and our ground partners in Botswana, and in neighbouring countries if your journey crosses into them. Each receives only what it needs.
  • The services we run the business on: our website host, HostGator, in the United States; Google, which carries our email and provides Google Analytics; and Meta, if you choose to message us on WhatsApp.
  • Authorities, where the law requires it.

Information that crosses borders

We work from Kenya, your journey takes place in Botswana and some of our service providers are in the United States, so your information moves between countries. Where we send information about UK or EU residents outside those areas, we rely on the safeguards our providers offer, such as standard contractual clauses, or on the transfer being necessary to deliver the journey you booked.

How long we keep it

  • Enquiries that do not become a booking: 24 months from our last contact, then deleted.
  • Booking records: seven years after your journey ends, for accounting and tax.
  • Medical and dietary details: deleted within three months of your return, unless they are needed for an insurance claim or a complaint.
  • Analytics data: no more than 14 months in Google Analytics.

Your rights

You can ask us to show you the information we hold about you, correct it, delete it, restrict or object to how we use it, or give you a copy in a portable format. Where we rely on your consent, you can withdraw it at any time. Withdrawing consent does not undo what we did before. Write to botswanasafaritour@gmail.com and we will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Office of the Data Protection Commissioner in Kenya. In the UK you can complain to the Information Commissioner’s Office; in the EU, to the data protection authority where you live. We would rather hear about it first, though, and put it right.

Cookies and browser storage

  • Google Analytics cookies (named _ga and _ga_ followed by an ID) are set only if you choose Accept in the banner. They tell one visit from another and last up to two years. If you decline, or never answer, no analytics cookie is set and Google Analytics receives only cookieless signals, such as a page being viewed, with no identifier linking your visits together.
  • One browser-storage entry, bst-consent, remembers your answer so the banner does not ask again. To change your answer, clear this site’s data in your browser and the banner will reappear.
  • Nothing else. No advertising or social-media cookies. The WhatsApp button is a plain link, and nothing goes to WhatsApp unless you tap it.

Keeping it safe

The site runs over an encrypted connection. Enquiries are stored in a system only our staff can sign in to, and we ask every partner to protect what we pass them. No system is perfectly secure. If a breach puts your information at risk, we will tell you and the regulator as the law requires.

Children

This site is not aimed at children. Details about children who travel come from the adult who books, and we use them only to plan and run the journey.

Changes to this policy

When this policy changes, we post the new version here and update the date at the top. If a change affects how we use information you have already given us, we will tell you directly.
